Position overview
Samaritan Grants Consulting is seeking a Project and Program Operations Coordinator Intern to provide essential support for the organization's administrative, operational, and program coordination initiatives. This internship is ideal for students or emerging professionals seeking hands-on experience in program operations, CRM management, communication support, and internal system organization.
This role will focus on maintaining accurate internal records, managing communications with program participants and applicants, assisting with educational program logistics, and supporting strategic marketing follow-up. The position is unpaid at this time, with the possibility of future paid opportunities based on performance, organizational growth, and business needs
Key responsibilities
Program Management and Operational Support
- Maintain and update records in HubSpot or other CRM systems to ensure clean and accurate data, and assist with follow-up communication for new inquiries, consultations, and prospective clients or students.
- Coordinate organizational and related educational programming.
- Manage administrative readiness and platform preparation for virtual learning spaces.
- Prepare and organize curriculum materials, onboarding documents, and internal planning resources.
- Coordinate scheduling needs, class support coverage, and internal follow-up for upcoming sessions
- Maintain accurate participant records, including tracking registration status and follow-ups.
- Support internal task tracking, file organization, and workflow coordination across projects.
Marketing and communications
- Assist with implementing marketing plans and maintaining consistency in outreach.
- Draft or schedule follow-up emails, participant updates, and general inquiry responses.
- Support outreach to leads, partners, and prospective collaborators identified through business development activities.
- Assist with partnership and funding research and review, including identifying aligned opportunities with online application processes.
Qualifications
- Current graduate student, recent graduate, or early-career professional in nonprofit management, public administration, business, communications, project management, political science, or a related field.
- Excellent organizational skills with strong attention to detail and follow-through.
- Ability to manage multiple tasks and deadlines in a fast-paced virtual environment.
- Comfort using or learning systems such as Google Workspace, HubSpot, project management platforms, and email marketing tools.
- Interest in nonprofit, education programs, philanthropy, grant writing, or operations.
- Ability to work independently, take initiative, and handle confidential information professionally.
Preferred qualifications
- Familiarity with CRM platforms such as HubSpot.
- Experience with administrative coordination, program support, customer service, or internship-based operations work.
- Interest in grants, sponsorships, fundraising, or nonprofit program delivery.
